A leading real estate firm is seeking a Construction Project Coordinator to join its team at the corporate headquarters in Los Angeles. The organization, known for its enduring staff relationships and commitment to inclusivity, offers a competitive total compensation package. The role requires a full-time in-office presence from Monday to Friday.
Responsibilities:
Manage contracts and records for construction projects, encompassing architectural, engineering, and professional consulting services, as well as specialty consultants and contractors.
Prepare contracts, including exhibits.
Provide administrative support to the supervisor and construction team including: preparing correspondence, e-filing, scanning, copying, and processing daily mail.
Serve as a point of contact for vendors upon request.
Process requests for information (RFIs) and change orders.
Monitor certificates of insurance (COI) coverage and contractors’ state licenses.
Process and submit billing schedules.
Track lien releases and lien waivers, ensuring understanding of contracts, lien rights, and subcontractor’s certificates of insurance.
Update reports, including those for construction contracts, changes, and insurance; create new Excel spreadsheets as required.
Additional duties such as collecting information and data entry as required.
Minimum Qualifications:
Bachelor’s degree
3+ years of administrative or project coordinator experience within residential or commercial construction industry
Proficient in MS Suite (Word, Excel, Outlook)
Preferred Qualifications:
Prior document control experience within the construction industry
Knowledgeable in AIA billings, lien releases, preliminary notices, insurance verifications
Yardi software usage is a plus
Experience working for a General Contractor preferred
Must be extremely organized, accurate, possess high level of attention to detail and be able to perform successfully under pressure and in a timely manner.
Salary Range: $27/hr – $35/hr (non-exempt role)*
